Vacation Rental Turnover Checklist: Cleaning, Inspection and Handoff
By MAXORI Studio · Updated 12 October 2026 · 5 min read
A turnover is the window between one guest leaving and the next arriving, and a good checklist makes it repeatable whoever does the work. The sequence below covers preparation, cleaning, inspection, restocking, damage notes and the final handoff. It also shows how to keep a simple record of cleaner hours.
Why a written checklist beats memory
Same-day changeovers leave little room for forgetting things. A written list means a new cleaner, a co-host or you on a tired Sunday all follow the same standard. It also gives you something to point to when a guest reports a missed task.
Keep the list short enough to finish in the time you have and specific to your property. Generic items such as 'clean bathroom' are weaker than 'wipe shower screen, check drain for hair, replace bath mat'.
Before the cleaner arrives
Ten minutes of preparation saves time on site. Do these steps remotely or on arrival.
- Confirm check-out and next check-in times, and note whether the turnover is same-day.
- Check the guest message thread for reported problems, such as a broken item or a spill.
- Send the cleaner the access details, the number of guests for the next stay and any special request.
- Make sure linen, consumables and cleaning supplies are available before you start.
Cleaning order that avoids rework
Work from top to bottom and from the back of the property to the door. Strip the beds first and start the laundry, so machines run while you clean.
A typical order is: open windows and take out rubbish, strip beds, kitchen, bathrooms, dusting and surfaces, make beds, floors last, then a final walk-through.
- Kitchen: empty the fridge, wipe appliances inside and out, run or empty the dishwasher, check cupboards for left items.
- Bathrooms: descale taps, clean the toilet and shower, replace towels, check for hair in drains.
- Bedrooms: fresh linen, look under beds and in drawers for forgotten belongings.
- Floors: vacuum and mop at the end so you do not walk dirt back in.
Inspection and damage notes
After cleaning, walk the property once as if you were the next guest. Test lights, taps, the TV remote, heating or air conditioning, and the door lock. Look for stains, chips, loose handles and missing items.
Write down any issue on the spot and take a dated photo of damage or wear, before and after if it is fixed. Records made at the time are far more useful than memories when you need to discuss a deposit or a platform claim. Keep the check neutral: note facts, not blame.
Restock and count supplies
Run out of toilet paper once and you will start counting. Keep a par level for each item and restock to it.
- Toilet paper, hand soap, dish soap, sponges and bin bags.
- Coffee, tea, salt, oil and other basics you promise in the listing.
- Spare towels and a second set of bed linen.
- Batteries, light bulbs and a note of any item running low for the next visit.
Handoff and tracking cleaner hours
Close each turnover with a clear decision: ready for the next guest, or on hold with the reason written down. A hold might be a broken lock or a wet carpet. Tell the next guest early if anything affects their stay.
Log the cleaner's start time, end time and unpaid break for every job. After a month you see the real average time per turnover, which helps you set realistic gaps between bookings and check whether your cleaning schedule needs adjusting. Employment rules on pay and working time differ by country, so confirm your obligations separately.
Questions
How long should a vacation rental turnover take?
It depends on size, number of guests and condition. Track the real times for your own property over a month and use that average rather than a general rule.
Should I take photos at every turnover?
Photos are most useful for damage, wear and unusual conditions. A dated photo taken at the time is stronger evidence than a later description.
What should I check before the next guest arrives?
Test the lock, lights, water, heating or cooling and Wi-Fi, confirm supplies are stocked and make sure no belongings from the previous guest remain.
How do I handle a same-day turnover?
Start the laundry first, keep a spare set of linen on site and give the cleaner the exact check-in time so the order of tasks can be adjusted.
