Subscription Tracker Spreadsheet for Freelancers: What to Record and Review
By MAXORI Studio · Updated 16 October 2026 · 6 min read
Business subscriptions pile up across cards and invoices, each with its own cycle and renewal date. A single spreadsheet shows the real yearly total, what renews next and what to cut. This guide explains which columns to keep, how to convert prices to a monthly and annual cost and how to review the list regularly.
Why a single register helps
Tools are bought one at a time: a design app, a storage plan, an invoicing service, a domain. Each charges on its own schedule, so the total is never visible in one place. Overlapping tools and forgotten trials go unnoticed until a renewal is charged.
A register lets you see the yearly cost, spot overlaps and decide before each renewal instead of after it.
The columns to keep
Eight columns are enough for most freelancers and small teams.
- Tool name and what you use it for
- Billing cycle: monthly, quarterly, every 6 months or annual
- Price of one cycle, in one currency
- A known renewal date
- Notice days: how many days before renewal you must cancel, from your contract
- Category and owner or team, if more than one person pays
- Status: Keep, Review or Cancel
- Notes, such as what the tool replaces or when you last used it
Monthly and annual cost
To compare tools on equal terms, convert each price to a monthly and a yearly cost: a monthly price times 12, a quarterly price times 4, a six-month price times 2, an annual price as it is, and the monthly figure is the yearly figure divided by 12.
This is an even conversion, not what leaves your account in a given month. An annual plan paid in one go is a single charge, but dividing it by 12 lets you compare it fairly with a monthly plan.
Renewal and cancel-by dates
Record one known renewal date and let the sheet roll it forward by whole billing cycles to the next one. Subtract the notice days to get the cancel-by date, and count the days left.
The notice days are your own entries from the contract or the provider's page. A spreadsheet does not know the provider's terms, so check them before relying on a date, and set an alert window, for example 30 days, to highlight what needs a decision.
A simple review routine
Spend ten minutes at the start of each month.
- Sort by the next renewal date and look at everything renewing in the coming weeks.
- For each item, mark Keep if it earns its cost, Review if you are unsure, Cancel if you no longer need it.
- Add up the yearly saving from the items marked Cancel. It only happens if you actually cancel and ignores refunds, minimum terms and fees.
- Add new subscriptions the day you sign up, with the cancel-by date.
Questions
What should a subscription tracker spreadsheet include?
Tool, billing cycle, price of one cycle, renewal date, notice days, category or owner, status and notes. From these you can work out the monthly and annual cost and the cancel-by date.
How do I convert a quarterly or annual price to monthly?
Divide an annual price by 12, a quarterly price by 3 and a six-month price by 6. It is an even conversion for comparison, not the cash that leaves your account each month.
How do I avoid being charged for a renewal I forgot?
Record the renewal date and the notice days, calculate the cancel-by date and check the list once a month. Verify the provider's actual terms, because the sheet only knows what you enter.
Is this accounting or tax software?
No. It is a tracking sheet. It does not read invoices, connect to your bank or calculate VAT or sales tax. Ask a professional about how to treat these costs in your books.
Ready-made tools for this
The Subscription & Software Cost Tracker is an Excel workbook for freelancers and small businesses: up to 80 tools with billing cycle, price, renewal date, notice days, category, owner and a Keep, Review or Cancel status, with monthly and annual costs, next renewal and cancel-by dates, a dashboard and a savings total. It includes a DEMO and a BLANK workbook in five languages and needs desktop Excel. It is not accounting or tax software.
