Quote Template in Excel for Freelancers: What to Include and How to Track It
By MAXORI Studio · Updated 13 October 2026 · 5 min read
A freelancer quote should state what you will deliver, what it costs, how long it is valid and what happens next, on a single clear page. You can build this in Excel with a few columns and a total. This guide lists the sections to include, shows a worked example and explains how to keep track of quotes you have sent.
What a quote is for
A quote protects both sides. The client sees what they are paying for, and you have a written record of the scope you agreed. Most disputes about price start with a scope that was never written down.
Depending on the country, a quote may or may not be legally binding once accepted. This guide does not give legal advice: if it matters for your work, ask a local professional.
The sections every quote needs
Keep the layout simple enough to fit on one page. A client should find the price and the scope in a few seconds.
- Your details and the client's details, plus a quote number and date
- A short description of the project and its goal
- Line items with description, quantity, unit price and line total
- Subtotal and, if it applies to you, a line for tax, with the rate set by your local rules
- Validity: how many days the price stays available
- Payment terms: deposit, milestones, due date
- What is not included, and how extra work is handled
- Acceptance: a line where the client confirms by reply or signature
Build the template in Excel
A basic quote needs only a few formulas. The line total is quantity times unit price, the subtotal is the sum of the line totals, and the final total adds tax if you charge it.
- Create columns for description, quantity, unit and unit price.
- Add a line total column with a formula multiplying quantity by unit price.
- Add a subtotal cell that sums the line totals.
- Add a tax rate cell and a total cell, if tax applies in your case.
- Set the print area to one page and save as PDF to send.
- Keep a blank master copy and save each quote under its own number.
Worked example
A small branding job quoted by item. The figures are only an illustration of the structure, not a price recommendation.
| Item | Qty | Unit price | Line total |
|---|---|---|---|
| Logo design, 3 concepts | 1 | 450 | 450 |
| Brand guide, 8 pages | 1 | 250 | 250 |
| Extra revision round | 2 | 80 | 160 |
| Subtotal | 860 | ||
| Deposit 30% to start | 258 |
Price clearly and state the scope
Write what is included in plain words: how many revisions, which files you deliver, who provides the content. Then write what is not included and the price of common extras. Unclear boundaries are the main reason quotes turn into unpaid work.
If you price by project, say which assumptions the price relies on, such as the client sending materials by a certain date. If you price by hour, give an estimate and a range.
Track every quote until the outcome is known
A quote that is sent and forgotten is lost income. Keep a register with the quote number, client, date, amount, status and a follow-up date. Typical statuses are draft, sent, accepted, declined and expired.
From that list you can count how many quotes you send, how many are accepted and what value is still open. Follow up once after a few days with a short, polite message, not a pushy one.
- Quote number, client, date and amount
- Status: draft, sent, accepted, declined, expired
- Follow-up date and notes
- Acceptance rate, calculated from the register
- Value of quotes still open
Questions
What should be on a freelancer quote?
Your and the client's details, a number and date, a scope description, priced line items, the total, how long the quote is valid, payment terms and what is excluded.
How long should a quote stay valid?
Fourteen to thirty days is common, but choose a period that fits how fast your prices or availability change, and write it on the quote.
What is the difference between a quote and an estimate?
A quote is usually a fixed price for a defined scope, while an estimate is an approximate figure that may change. Say clearly on the document which one it is.
Should I ask for a deposit?
Many freelancers ask for a share upfront on larger jobs. If you do, write the percentage and the due date on the quote.
