Tax-Time Document Checklist - Gather your records by category and note where each one is. PDF and TXT, 5 languages.1 / 10

A one-time digital download for freelancers and small business owners who need to collect their records before a year end or quarter end: a document checklist with 12 categories and 36 documents (income records, invoices issued and received, expense receipts, bank and card statements, mileage and vehicle, home office, equipment, prior returns, identity and registration, tax-office correspondence, people and insurance), each with a tick box and a 'Where I keep it' column, plus one free row per category. It also has a blank notes page where you write the dates and requirements your own tax office or advisor gives you, lines for your questions, a hand-over log, and the checklist filled in as a fictional example. English, Italian, Spanish, French and German in one download, as printable PDF (A4 and US Letter) and TXT. It is an organiser, not tax advice: it states no deadlines and no rules.

The problem it solves

At year end the papers are scattered across folders, drawers, inboxes and apps, you are not sure what is still missing, and you lose time hunting for it.

Who it is for

Freelancers, sole traders and small business owners who want one clear list of what to gather before they meet their accountant or advisor, or before they file with their tax office.

What you get

  • A 12-category checklist with 36 documents to gather, so nothing is forgotten when you prepare a year end or quarter end
  • A 'Where I keep it' column for every document: write the folder, drawer or app, and find it again in seconds
  • One free row in each category for anything particular to your business
  • A blank notes page where you write the dates and requirements given to you by your own tax office or advisor, and a space for your questions
  • A hand-over log that records what you sent, to whom and when
  • A fictional filled example, and English, Italian, Spanish, French and German in one download

How you use it

  1. Download and unzip your purchase and open your language folder.
  2. Print the PDF (or copy the text from the TXT) and write your name and the period you are preparing.
  3. Go through the 12 categories: tick each document you have gathered and write where it is kept.
  4. Use the free rows for your own items and mark what is still missing so you can ask for it.
  5. On the notes page, write the dates and requirements your tax office or advisor gave you, and your questions; use the hand-over log when you send documents on.

Questions

Is this tax advice or a tax return?

No. It is a checklist and a set of notes pages to help you organise your records. It does not file, calculate or advise, and it states no deadlines or rules. Confirm what applies to you with a qualified local advisor or your tax office.

Does it tell me which documents I must keep or what I can deduct?

No. Rules differ by country, business type and year. The list is a general set of record types that people commonly gather; your advisor or tax office tells you what applies to you.

Which countries is it for?

It is country-neutral: the categories are generic and no country-specific rules or deadlines are given. The notes page is for the dates and requirements of your own country, which you write in yourself.

Can I edit the documents?

The PDFs are for printing. The TXT file contains the same texts, so you can copy them into your own document and edit them.

Which languages and paper sizes are included?

English, Italian, Spanish, French and German, each as PDF on A4 and on US Letter, plus a TXT. Translations are not native-speaker reviewed.

Does it work with other MAXORI products?

It stands on its own. It sits well beside a bookkeeping or expense-receipt tool, but there is no integration: you copy any figures across by hand.

What is included

  • Five language folders (EN, IT, ES, FR, DE), each with an 8-page PDF on A4 and on US Letter
  • Document checklist: 12 categories, 36 documents, tick boxes, a 'Where I keep it' column and a free row per category
  • Notes page for deadlines and requirements (blank), questions for your advisor and a hand-over log
  • The checklist, notes and hand-over log filled in with a fictional example
  • A TXT file with the same texts to copy and edit, and START-HERE.txt in each folder and one at the top of the ZIP

Requirements

A PDF reader and a printer, or any text editor for the TXT file. Print at actual size on A4 or US Letter paper. No Word or Excel file is included and the PDFs are not fillable forms.

Version 1.0

Good to know

  • Not tax, accounting or legal advice. Tax rules, deadlines and the records you must keep differ by country, type of business and year. The checklist does not say what you must keep, what you may deduct or when anything is due: confirm requirements with a qualified local advisor or your tax office.
  • No deadlines are given. The notes page is empty on purpose: you write only the dates and requirements that your own tax office or advisor tells you.
  • The home-office section lists documents to gather, not whether any cost counts; ask your advisor.
  • The example (Lena Marlow, Rossi & Partners) is fictional. Names and dates are invented and must not be copied.
  • The PDFs are for reading and printing, not editable or fillable; use the TXT to edit texts. No Word, Excel or Canva file is included.
  • It does not file, calculate, send or store anything and does not connect to any other service or to other MAXORI products.
  • Translations are not native-speaker reviewed. For your own business use; no resale or redistribution.

This is a downloadable digital product, not online software. It does not need an account and is not part of the MAXORI Software subscriptions.
