Real screens of the product with fictional example data. The file you download is editable or printable as described above.

An Excel workbook (XLSX) for short-term rental hosts, B&B and guesthouse owners. Describe each property (beds, guests, bedrooms, bathrooms, laundry method, days between guest changes), list your linen with how it is counted and its replacement cost, type in what you own, and the workbook calculates the par level of every item (in use + clean ready + in the laundry + spare buffer), a shopping list with cost against your current stock, and a wear and replacement planner. A BLANK workbook and a DEMO workbook with fictional data are included in English, Italian, Spanish, French and German.

The problem it solves

Linen is bought by guesswork: too few sets and a same-day changeover goes wrong, too many and money sits in a cupboard. Nobody knows how much is really missing, or when towels will wear out.

Who it is for

Hosts, B&B and guesthouse owners and small property managers who run one or more rentals and want to know how many sheets and towels to own and when to replace them, in desktop Excel.

What you get

  • Par level per item and per property: pieces in use + clean pieces ready + pieces in the laundry + a spare buffer you choose
  • Count each item per bed, per guest, per bedroom, per bathroom or per property, with the number of pieces per unit
  • Home or outsourced laundry: the sets away at once follow your turnaround days and the days between guest changes
  • Shopping list per property and in total: pieces to buy against your current stock, with the cost of the list and pieces held above par
  • Wear and replacement planner: washes left, months until replacement, an estimated date and the yearly replacement cost
  • Dashboard with totals and a calculator that breaks down any one property item by item
  • Complements the Check-in / Check-out & Inventory Kit, which counts objects, and the Welcome Basket & Guest Amenity Cost Tracker, which tracks consumables
  • All files in English, Italian, Spanish, French and German; start from the BLANK workbook or learn first with the DEMO

How you use it

  1. Download and unzip, open the folder of your language and try the DEMO workbook first.
  2. Open the BLANK workbook in desktop Microsoft Excel and save a working copy. In Setup, check the laundry turnaround days for home and outsourced laundry, the spare buffer and how many clean sets you keep ready.
  3. In Properties, add one row per rental: bedrooms, beds, guests to plan for, bathrooms, laundry method, days between guest changes and guest changes per year.
  4. In Linen, list your items with how each is counted, pieces per unit, replacement cost and planned life in washes. In Stock, count what you own today.
  5. Read the Dashboard and the Shopping List for what to buy, and the Wear Planner for what to replace and when.

Questions

How is the par level calculated?

For each item and property: pieces in use (units such as beds or guests x pieces per unit) + clean pieces kept ready + pieces in the laundry (in use x sets away at once) + a spare buffer in % of the total, rounded up. Sets away at once = laundry turnaround days / days between guest changes, rounded up, at least 1.

Can I plan for home and outsourced laundry?

Yes. In Setup you set the turnaround days for each laundry method, and each property picks its method. Change the days to match your own laundry or service.

Does it tell me when to replace towels and sheets?

It estimates it. You enter the planned life in washes and the washes already done; the Wear Planner shows washes left, months until replacement, a Soon or Replace now flag and the yearly replacement cost. It assumes even rotation, so treat it as a guide.

Is it really in five languages?

Yes. Sheet names, headings, lists, instructions and the START-HERE guide are provided in English, Italian, Spanish, French and German, in separate folders. The translations have not been reviewed by native speakers.

Does it work in Google Sheets, LibreOffice or Excel for Mac?

It was tested in desktop Excel for Windows only. Other programs were not tested, so we cannot promise they behave the same.

What is included

  • One folder per language (en, it, es, fr, de), each with the same files in that language
  • BLANK workbook (XLSX): 9 sheets - Start, Dashboard, Properties, Linen, Stock, Par Levels, Shopping List, Wear Planner, Setup
  • DEMO workbook (XLSX): the same workbook with fictional data (3 properties, 10 linen items)
  • START-HERE.txt in every language folder, plus a short START-HERE.txt at the top level

Requirements

Microsoft Excel for desktop (not included). Built and tested with Excel 16.0 for Windows: all 10 workbooks were recalculated with no formula errors and the par, shopping and wear logic was checked with probe data. No macros and no external links. Mac, Excel for the web, phone apps, Google Sheets and LibreOffice were not tested.

Good to know

  • Capacity: 10 properties and 20 linen items. Calculated cells are locked without a password.
  • The par level is a planning rule of thumb, not an industry standard. The values in the DEMO workbook are examples, not recommendations: use your own turnaround, buffer and counts.
  • Wear and replacement are estimates: each guest change washes every piece in use once and wear is shared evenly across the pieces owned. Real wear will differ.
  • Costs use the replacement cost you type for each piece; there is no price history, no supplier data and no ordering.
  • No macros, no cloud sync, no automatic emails or reminders: you open the file and read the Dashboard.
  • Not accounting software, not tax advice. Example data is fictional. For your own business use; reselling or sharing the files is not allowed.
  • This is a one-time digital download, separate from the MAXORI online software.

This is a downloadable digital product, not online software. It does not need an account and is not part of the MAXORI Software subscriptions.
