Event Pricing & Min-Stay Planner cover: Year Overview sheet with a nightly price for every date and event nights highlighted1 / 10

An Excel workbook (XLSX) for holiday-rental hosts, B&Bs and guesthouses that works date by date: enter one base rate, mark your local events, holidays and seasons with price multipliers, add weekday rules, minimum stays and an optional last-minute discount, and the workbook calculates the nightly price and the minimum stay for every date of the year. A printable one-page year overview, a month-by-month room revenue estimate for the occupancy you type in and a single-stay checker are included. A fictional DEMO and an empty BLANK workbook come in English, Italian, Spanish, French and German, with a 3-page PDF guide in each language.

The problem it solves

Local events, school holidays and busy weekends are easy to forget when you set prices by hand, and minimum-stay rules end up scattered across notes and listings.

Who it is for

Independent hosts, B&B and guesthouse owners and small property managers who want to price event weekends, holidays and seasons consistently and keep clear minimum-stay rules.

What you get

  • Mark up to 10 periods and 20 events or holidays with dates, a price multiplier and an optional minimum stay; an event can stack on its period or override it
  • Set a price multiplier and a minimum stay for each check-in weekday, plus a last-minute discount in two steps, a lowest and highest price and rounding
  • See the nightly price and the minimum stay of every date on two printable one-page calendars, with event nights highlighted
  • Estimate room revenue by month from the occupancy and blocked nights you enter, and compare it with a flat base rate at the same occupancy
  • Check one stay: minimum stay at check-in, price night by night and the total
  • Start from the BLANK workbook or learn first with the fictional DEMO, in your own language

How you use it

  1. Download and extract the ZIP, then open the folder of your language and read START-HERE.txt.
  2. Open the DEMO in desktop Microsoft Excel and look at Year Overview, Min-Stay Map and Summary.
  3. Open the BLANK, use Save As to keep your own working copy, and fill the cream cells on Setup: plan year, base rate, weekday rules, periods and events.
  4. Check that the input checks say OK, then read the Year Overview, the Min-Stay Map and Daily Prices, and print the calendars.
  5. Enter your expected occupancy by month on Summary and use Stay Check to price a single stay.

Questions

How is this different from the Seasonal Rate & Occupancy Planner?

This workbook works date by date: one base rate, multipliers for periods, events and weekdays, minimum stays by period and check-in weekday, and a price for every date, with printable year calendars. MAXORI Seasonal Rate & Occupancy Planner builds a rate card by season and compares low, base and high scenarios with costs, break-even and channels. Some ideas overlap (seasons, weekend rates, minimum stays); the files are separate and not linked.

Does it update my Airbnb or Booking.com prices?

No. It is not connected to any platform or channel manager. You copy the prices you want into your own listings.

Does it calculate tourist tax, VAT or income tax?

No. No tax calculations and no tax rates are built in; prices are the amounts you choose to charge.

Which languages are included?

English, Italian, Spanish, French and German. Each language folder has its own DEMO workbook, BLANK workbook and 3-page PDF guide; the figures are the same in every language.

Does it work in Google Sheets or on a Mac?

It was built and recalculated in desktop Microsoft Excel for Windows. Google Sheets, Excel for the web, Mac and mobile have not been verified.

What is included

  • MAXORI-Event-Pricing-Planner-DEMO.xlsx: 7 sheets filled with fictional example data (Lakeside Cottage, plan year 2027)
  • MAXORI-Event-Pricing-Planner-BLANK.xlsx: the same workbook, empty, for your own calendar
  • MAXORI-Event-Pricing-Planner-Guide.pdf: 3-page quick-start guide
  • START-HERE.txt: short setup and licence notes
  • One ZIP with a folder for each language: English, Italian, Spanish, French and German (the same workbooks and guide in each)

Requirements

Desktop Microsoft Excel (not included). All 10 workbooks were recalculated in desktop Excel for Windows with no formula errors. No macros and no external links. Google Sheets, Excel for the web, Mac and mobile have not been verified. Any PDF reader for the guide.

Version 1.0

Good to know

  • No tax calculations are built in: tourist tax, VAT, income tax and similar items are not computed and no rates are included. Prices are the amounts you decide to charge.
  • No platform commissions or fees are modelled, and the workbook is not connected to any booking platform or channel manager: you copy the prices into your own listings.
  • Prices follow the rules you enter. Revenue figures are planning estimates from the occupancy you type in, not forecasts or promises of income; the workbook does not predict demand. Not accounting, tax or legal advice: check your local rules on short-term rentals and on pricing.
  • The comparison with a flat base rate keeps occupancy equal; real demand can react to the prices you set. Revenue excludes cleaning fees, extra-guest fees, taxes and commissions.
  • One plan year at a time, up to 10 periods and 20 events, each with full dates inside that year; a stay over New Year needs a row in each year. It is not a booking calendar and not an analysis of past results.
  • Formula sheets are protected without a password to prevent accidental overwrites; only the cream cells are meant to be edited. The demo data is fictional.
  • A one-time digital download for your own use, not the MAXORI online software; no resale or redistribution.

This is a downloadable digital product, not online software. It does not need an account and is not part of the MAXORI Software subscriptions.
